Managing Resources In A Project

A project manager is responsible for managing the four main areas in any project, including:

  • Time – Deadlines and dependencies
  • Money – Contingency plans, profit, costs
  • Scope – Goals, Requirements, project size
  • Resources – People, Material and equipment

However, in common parlance, the term “resource” in project management tends to include ALL of the aspects above in one way or another.
A Project Manager needs to manage all of the resources that are assigned to the project to make sure that the project is a success. This can include the working hours of all the people in the team responsible for the project. It can also include subcontract work if this is required on the project. However resource management is more than just managing people, the project manager will also need to consider the equipment and material required for the project.
Common resources which project managers must control include:

  • People – Employees, and subcontract labour
  • Equipment – Any plant or machinery required. Also includes specialist equipment required for your project, such as CD Writers, microphones, etc… This will depend on the type of project.
  • Material – The material required to complete the project, building projects may require concrete, bricks, and insulation material.

A project manager’s job is to have the right resources at the right place, in the right quantity and at the right time. Taking the example of managing people, a project manager is responsible for ensuring that the right people, which possess the right skills, have the right tools and enough time to complete the project.
It is also the project manager’s job to ensure that the people know what they need to do, when they need to do it and how they should do it. Motivation is also part of the job; you should be able to motivate the employees to do the project.
The equipment that you have to manage will depend on the type of project that you are managing. For example, if your project is to build a frozen food warehouse then you will need:

  • Plant and machinery, including cement trucks, cranes, and earth moving equipment
  • Material

Managing resources is a very important part of project management which should not be overlooked. However there are plenty of other areas that you must focus on as a project manager, especially time management
